About the position: We are looking for a highly experienced, motivated, and compassionate Operations Director with 8-10 years of operations experience. The Operations Director will manage One Pennsylvania’s finances, development, human resources, and IT. The Operations Director works closely with and actively assists the Executive Director, Development Director, Communication Director, Political Director, Organizing Director, and organizers. This position ensures that One Pennsylvania member leaders are able to step up as a powerful piece of the permanent progressive infrastructure of Pennsylvania. One PA is experiencing a period of intense growth and change and the Operations Director will help to drive and support that growth.

The work schedule can at times be greater than 40 hours per week and includes evening and weekend meetings and events, as necessary. It is not a strictly 9am-5pm position.

Location: This is a hybrid position based in either Pittsburgh or Philadelphia, PA.

Travel: Travel will be required to either Pittsburgh or Philadelphia (depending on where the person filling this position lives) once/month for approximately 3 days each trip.

Supervised by: Executive Director or Chief of Staff

Supervises: Senior Finance Manager, two Operations Associates and the HR and Benefits Manager

RESPONSIBILITIES:

Organizational Development

  • Create and maintain an information management system, both physical and electronic, to ensure the ready availability and safeguarding of information;
  • Ensure that the offices of One PA are appropriately resourced and supported so that organizers can focus on campaigns and member leadership development.

Financial:

  • Work with the Senior Finance Manager to make sure all financial reports and filings are prepared on a monthly and/or an as-needed basis and respond to information requests from the Executive Director;
  • Coordinate annual audit preparations in collaboration with the Executive Director, Board of Directors, and contracted accountant;
  • Coordinate with contractor bookkeeper to ensure that check requests, deposits, employee reimbursements, accounts receivable, invoice, and accounts payable processes are handled in a timely fashion and documented appropriately;
  • Coordinate with bookkeeper to manage Quickbooks and work with contract accountant to assure vendors are paid on time and funds moving in and out of the organization are accurately tracked;
  • Creating new, smart systems that anticipate organizational needs.

Development:

  • Assess, manage, and improve our membership dues management structure;
  • Assist the Development Director in tracking grant reporting, application deadlines, and reporting;
  • Support the Executive Director with the organizational budget and year-end reports to funders;
  • Manage all details of reports and queries for regular accounting of relationship management, fundraising measures, and mailing lists needed on a regular basis;
  • Create monthly donor reports and assist in donor management;
  • Develop and manage fundraising accounts /inventory tracking.

Human Resources

  • Work with the HR & Benefits Manager to manage HR functions for the organization, such as orienting new staff, creating HR systems as needed, and making sure personnel forms are completed and updated as needed;
  • Lead on responding to any HR complaints or concerns;
  • Manage tracking of employee leave requests;
  • Work with HR and Benefits Manager to manage benefits, including completing an RFP of health insurance and retirement benefits on a regular basis;
  • Manage the processing of timesheets and administration of payroll on a weekly basis, including expense and mileage reimbursements;
  • Work to manage organizational compliance with all local, state and federal laws by tracking time sheets and working with One PA’s attorney.

Logistics duties:

  • Develop a list of approved vendors for logistics (buses, food, space) for actions, meetings, and conventions in Harrisburg, Pittsburgh, and Philadelphia;
  • Book travel and lodging for a variety of staff in order to ensure efficient use of resources;
  • Provide support for special events in order to ensure efficient use of resources.

Tech duties:

  • Work as the liaison between our staff and our IT vendor;
  • Translate to the IT vendor the nature of a staff member’s tech problem and help staff members figure out what needs to be done to fix it;.
  • Develop and implement systems to maintain tech inventory and accurately plan and budget for emergent and planned tech needs.

QUALIFICATIONS:

  • 8-10 years of operations experience, specifically in project management, finance, and nonprofit administration, at least 4 of which must have been working for a grassroots base-building organization. A Master’s in Nonprofit Administration or related degree may take the place of 2 of these years;
  • 3-4 years of supervisory experience, including supervising at least 3 staff at one time;
  • Experience and comfortability with working in a fast paced organization with frequently changing priorities and operational needs;
  • Experience working with employees of varying levels of technology literacy;
  • Experience working with vendors and contractors outside of the organization;
  • Valid U.S. driver’s license and access to a reliable vehicle;
  • Experience working with both 501c(3) and 501c(4) organizations highly preferred but not required;
  • Experience working with an organization with a temporary canvass preferred but not required.

COMPENSATION:

Salary of $85,000 – $95,000 annually and benefits including a substantial amount of paid time off, optional 401K type plan with generous employer match, and fully paid health insurance.
